1. Introduction and Scope
Kellogg West Conference Center and Hotel (“Kellogg West”) is operated by Cal Poly Pomona Enterprises (“we,” “us,” or “our”), a nonprofit auxiliary organization of California State Polytechnic University, Pomona (“Cal Poly Pomona”) within the California State University (“CSU”) system. Cal Poly Pomona Enterprises is a legally separate entity that provides services in support of the university’s mission and operates under the oversight of the university president, consistent with CSU policy. We are committed to protecting the privacy of guests, event attendees, meeting planners, and visitors who interact with us online or in person.
This Privacy Policy describes how we collect, use, disclose, and protect information when you visit our website at www.kelloggwest.com (the “Site”), make a lodging reservation, book a meeting or event, contact us, or otherwise use our services.
By using the Site or providing information to us, you acknowledge that you have read and understood this Policy.
2. Relationship to the CSU Privacy Policy Framework
Cal Poly Pomona Enterprises operates Kellogg West as an auxiliary organization of Cal Poly Pomona. Although the auxiliary is legally separate from the university, it operates in close alignment with the university and follows applicable CSU systemwide policy, including the CSU Systemwide Privacy Policy. This Policy supplements, and should be read together with, that policy. Where this Policy addresses matters specific to hotel, lodging, conference, and event services, the broader CSU privacy framework informs the handling of personal information.
You can review the governing CSU policies here:
- CSU Privacy Policy: https://calstate.policystat.com/policy/20637271/latest/
- CSU Auxiliary Organizations Policy: https://calstate.policystat.com/policy/18032330/latest/
In the event of a direct conflict between this Policy and the CSU Systemwide Privacy Policy on matters the CSU policy governs, the CSU policy controls.

5. Communication Monitoring and Online Tracking Technologies (California Invasion of Privacy Act Notice)
This Section provides notice and obtains consent regarding monitoring and tracking activities, consistent with the California Invasion of Privacy Act (“CIPA,” California Penal Code sections 630 and following).
5.1 Notice and Consent
Our Site and our communication channels may use technologies that record, log, or analyze your interactions. These may include:
- Analytics and performance tools that record page activity, clicks, scrolling, and navigation.
- Session activity tools that may capture how visitors move through pages and the booking process.
- Chat or messaging features, where the content of your messages may be recorded and stored.
- Telephone communications, which may be monitored or recorded for quality, training, reservation accuracy, and security purposes.
- Tracking pixels and tags that measure marketing and Site performance.
Some of these tools are operated by service providers that act on our behalf. Where required, these providers are contractually limited to using the information only to deliver services to Kellogg West.
By continuing to use the Site, by communicating with us through chat or messaging features, and by continuing a telephone call after notice of recording, you consent to the monitoring, recording, and analysis described above. If you do not consent, please do not use the relevant feature and contact us using the information in Section 14 so that we can assist you through an alternative channel.
5.2 Your Choices
You may limit certain tracking by adjusting your browser settings, declining nonessential cookies through our cookie controls (see Section 6), and using available opt-out mechanisms offered by analytics and advertising providers. Disabling certain technologies may affect the availability of some Site features, including booking functionality.
6. Cookies and Similar Technologies
We use cookies and similar technologies to operate the Site, remember preferences, support the booking process, measure performance, and understand usage.
- Strictly necessary cookies are required for the Site and reservation functions to operate.
- Performance and analytics cookies help us understand how the Site is used.
- Functional cookies remember choices you make.
- Marketing cookies, where used, support relevant communications.
We use a cookie consent management tool (currently CookieYes) on www.kelloggwest.com to present a cookie notice and to let you accept or decline nonessential cookies. This consent tool manages cookies on the Kellogg West website only. It does not control cookies or tracking technologies on separate websites, including the third-party reservation engine to which you are directed when you start a booking (see Section 13). You can also manage cookies through your browser settings. Declining nonessential cookies will not prevent you from accessing core information about Kellogg West.
7. How We Share Information
We may share information in the following circumstances:
- Service providers: reservation and property systems, payment processors, analytics providers, email and communication platforms, and IT vendors that perform services on our behalf under appropriate confidentiality and data protection obligations.
- Within the university: with Cal Poly Pomona and the CSU system as needed for operations, billing, audit, security, and compliance, consistent with the CSU Systemwide Privacy Policy.
- Legal and safety reasons: when required by law, subpoena, court order, or public records obligation, or to protect the rights, property, or safety of guests, the public, our staff, or the university.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising in exchange for payment.
8. Payment Information and Security
Payment card transactions are handled by payment and reservation service providers. We require that providers handling cardholder data maintain compliance with the Payment Card Industry Data Security Standard (PCI DSS). We do not store full payment card numbers on the Site.
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Data Retention
We retain personal information for as long as needed to fulfill the purposes described in this Policy, including reservation servicing, billing, accounting, audit, and legal and university records retention requirements. When information is no longer needed, we dispose of it in accordance with applicable records retention schedules, consistent with CSU policy and law.
10. Your California Privacy Rights
Kellogg West is operated by Cal Poly Pomona Enterprises, a nonprofit auxiliary organization that is legally separate from Cal Poly Pomona and the CSU. Because Cal Poly Pomona Enterprises is organized and operated as a nonprofit and not for the profit or financial benefit of owners, it is generally not a “business” subject to the consumer obligations of the California Consumer Privacy Act, which applies to for-profit businesses that meet certain thresholds. As an auxiliary of the CSU, we operate under the oversight of Cal Poly Pomona, we follow applicable CSU systemwide policy, and we are committed to handling personal information consistent with the privacy principles reflected in CSU policy and in the California Information Practices Act of 1977.
Consistent with these commitments, you may:
- Request access to personal information we maintain about you.
- Request correction of personal information that is inaccurate.
- Ask questions about how your information is collected and used.
Please note that certain third-party booking, payment, or analytics providers may themselves be subject to additional privacy laws, including the California Consumer Privacy Act, in their own right. To exercise any request or to learn more, contact us using the information in Section 14, or refer to the CSU Systemwide Privacy Policy.
11. Website Accessibility
Kellogg West and Cal Poly Pomona are committed to providing a website and digital services that are accessible to people of all abilities, consistent with the CSU Accessible Technology Initiative, Section 508 of the Rehabilitation Act, the Americans with Disabilities Act, and applicable California law, including Government Code sections 7405 and 11135.
We work toward conformance with the Web Content Accessibility Guidelines (WCAG) version 2.1, Level AA, and we treat accessibility as an ongoing effort rather than a one-time goal.
If you encounter any barrier to accessing information or completing a reservation on the Site, or if you need information provided in an alternative format or need assistance with a booking, please contact us using the information in Section 14. We will work promptly to provide the information or service you need through an accessible channel. We welcome feedback that helps us improve accessibility.
12. Children’s Policy
The Site is intended for adults and for those making travel and event arrangements. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided personal information through the Site, please contact us so that we can take appropriate action.
13. Third Party Booking Engine and Other Links
13.1 Online Reservation Engine
When you select “Book Now” or otherwise begin a reservation, you leave www.kelloggwest.com and are redirected to an online reservation engine operated by a third-party provider, StayNTouch, hosted at kelloggwest.ibe.stayntouch.com. This reservation engine is a separate website operated on a separate domain. It is not controlled by Kellogg West, and our cookie consent tool (CookieYes) does not govern cookies, tags, or other tracking technologies used on that reservation engine.
Before you are redirected, we provide notice that you are being transferred to a third-party reservation engine that maintains its own privacy and cookie practices. By proceeding to the reservation engine, you acknowledge that your information will be collected and processed by that provider in accordance with its own privacy policy and cookie practices, which may differ from this Policy.
The reservation engine may set cookies and similar technologies, including those used for site functionality, performance, analytics, and the completion of your booking and payment. Because that environment is operated by the provider, you should review the provider’s privacy notice and manage cookie choices directly within that environment, where those controls are made available. We work with our reservation provider to support appropriate notice and choice, and we encourage you to review the StayNTouch privacy notice available within the reservation engine.
13.2 Other Links
The Site may also contain links to other third-party websites, including mapping services, payment providers, and partner organizations. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party site you visit.

15. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will revise the “Last Updated” date above and, where appropriate, provide additional notice. Your continued use of the Site after changes take effect indicates your acceptance of the updated Policy.
This Policy applies to the Kellogg West website and related lodging and event services operated by Cal Poly Pomona Enterprises, a nonprofit auxiliary organization of Cal Poly Pomona, and supplements the CSU Systemwide Privacy Policy available.
